1. What we collect
- Contact inquiry information you provide, such as name, phone number, business name, package interest, and message. The planned production form also requests contact email, separate WhatsApp availability, and optional SMS consent; genuine SMS enrollment remains disabled.
- Business data, project briefs, shared material links and any copies we hold (photos, logo, copy, social media). We do not control copies in your external storage accounts.
- When you use account and project features: identity/contact and business profile details, sign-in/session records, appointments, project chat, meeting notes and any transcripts created, proposals, agreements, approvals, and billing status.
- Technical information needed to operate and protect the website, such as request IP addresses and error reports.
2. How we use your information
- To respond to your request and send you a quote.
- To build and maintain your website.
- To send you project updates.
- To investigate errors and protect website operations.
3. Third-party sharing
We share information with providers needed to deliver the service, such as hosting, email, and meeting scheduling. For payment, we send Clover your name, email, and order amount; you enter card data directly at Clover. Previous Stripe billing remains at Stripe. For a new profile, we send your connection IP address to ipwho.is to suggest a country. This does not collect GPS coordinates or determine pricing. You can change the suggestion. When you choose Use my location, we send the permitted coordinates to our Photon address provider to suggest address fields. Review them before saving. We never sell your information.
When the corresponding features are enabled and used, necessary providers may include Linode for hosting, Resend for email, meeting providers, and Google for Google sign-in. Optional assistance and notes features may send necessary support context or transcripts to OpenAI when configured and enabled. Sharing is limited to what the feature needs; it does not authorize marketing. The planned CRM/customer app is not yet operational. The current site is a shared demo: use sample data. Live payments, external email, and genuine SMS enrollment are disabled in that demo.
4. Cookies
We use functional cookies for sign-in and to remember your selected language. You can manage them in your browser settings; blocking them may affect website functionality.
5. Your rights
You have the right to:
- Request access to the information we hold about you.
- Request correction or deletion of your data.
- Withdraw your consent at any time.
To exercise these rights write to us at info@novatech-dc.com.
Administrators verify your authority before providing, correcting, or deleting data, request only what is needed, and aim to acknowledge within 5 business days and resolve within 30 calendar days. If an exception requires retention or more time to resolve, we explain why. An SMS withdrawal is treated as a block on any future texting without requiring identity verification first; receipt by email is not automatic confirmation of a Twilio operation.
6. Data retention
Administrators use the following manual review schedule. These are review targets, not promises of automatic deletion on an expiry date.
- Contact-only records without protected evidence
- Review for deletion after 24 months without activity.
- Ordinary project materials
- Review for deletion 12 months after project closure. This covers copies and link references we control, not files in storage accounts you control.
- Signed agreements, payments, and dispute or audit evidence
- Review after 7 years from project closure. Materials needed as evidence follow this schedule.
- SMS consent and withdrawal evidence
- Review after 4 years from the latest of consent, the last text, or withdrawal.
- Minimal SMS suppression record
- We keep the number, program, opt-out status, and date needed to prevent unwanted texts while that protection is needed, until verified re-enrollment. A new inquiry or checkbox selection does not override an opt-out.
- Recovery backups
- Review after 90 days. These are restricted-access recovery copies; recorded deletions and opt-outs must be reapplied before restored data is used.
We retain information longer only when needed for an active service, a dispute, a legal obligation, or a legal hold. At each review, administrators document whether deletion, anonymization, or continued retention is appropriate and why.
Agreements, original materials, audit records, and consent evidence have append-only history protections. Ordinary account deletion does not erase these records. Any eligible disposal requires a separately authorized, logged maintenance procedure that preserves evidence still requiring retention. Publishing this policy does not delete or rewrite historical records.
7. Security
We take reasonable measures to protect your information (encryption in transit, access control, backups). No system is 100% secure.
8. Contact
If you have privacy questions, write us at info@novatech-dc.com. You can also use our contact form.
9. Phone numbers and SMS consent
The planned production contact form will ask for an international phone number and an email to respond to your inquiry. WhatsApp availability is a separate choice. Providing a number, identifying WhatsApp availability, or accepting general agreements does not authorize text messages.
Optional SMS enrollment is planned for NovaTech Solutions LLC customer support, appointment reminders, and service/project updates. Message frequency varies. It does not include marketing, promotional messages, or authentication codes. Genuine enrollment remains disabled until expressly enabled for a verified production form. Demo selections are recorded only as tests; they do not create genuine consent or send messages.
When you choose SMS on an enabled form, we retain the normalized number, program and purposes, affirmative choice, server timestamp, source page, language, and an exact versioned disclosure snapshot, linked to your inquiry. The history is append-only. A later inquiry without SMS selected does not withdraw earlier consent or remove an opt-out; a new selection does not override an existing suppression.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.
This is distinct from using providers necessary to deliver the requested service. New SMS consent records are not forwarded to the external lead webhook. Any SMS delivery provider and its necessary data access must be confirmed before launch; this site does not claim that an SMS provider is already active.
For help or to withdraw your SMS request, email info@novatech-dc.com. Once the service is configured and verified, you may reply STOP to opt out or HELP for help. Automatic keyword processing is a pending launch requirement; this site does not yet implement it. The retention schedule in section 6 applies to SMS evidence; it is administered manually.
The initial program is limited to US customers. Administrators manage help and withdrawal requests received at info@novatech-dc.com. The web withdrawal form and local blocking workflow are prepared but not yet published. Provider synchronization remains pending; sending is disabled. Re-enrollment requires verification and is not available through the inquiry form.
Twilio is the planned SMS delivery provider, with access limited to the number, message content, and delivery and opt-out metadata needed to provide the service. Configuration and verification remain pending; this does not mean delivery is already active.
